Heirloom is a life story service operated by Ollie as a sole trader based in the United Kingdom. When we say "we," "us," or "our," we mean Heirloom. When we say "you," we mean anyone who uses our website or purchases our services — whether you are the buyer, the narrator, or a family member.

2. What Data We Collect

When you contact us or make a purchase, we collect your name, email address, phone number (if provided), and payment information (processed securely by Stripe — we never see or store your card details).

When we conduct an interview with a narrator, we collect audio recordings of the interview sessions and any personal information the narrator chooses to share during the conversation, including names, places, dates, and life events.

When you visit our website, we do not use cookies or tracking software. The contact form is processed by Formspree, whose privacy policy is available at formspree.io/legal/privacy-policy.

3. Why We Collect It

We collect your data for one purpose: to deliver the Heirloom service. Specifically, to schedule and conduct the interview, create the written memoir, produce the printed book, take payment, and communicate with you about your order.

If you have given consent for us to use excerpts from the memoir for marketing purposes, we use that content in accordance with your consent.

4. Legal Basis for Processing

Under UK GDPR, we process your data on the following bases: contract (to deliver the service you purchased), consent (for marketing use of memoir excerpts), and legitimate interest (to respond to enquiries submitted through our website).

5. Who We Share Data With

We share data only with the following third parties, and only to the extent necessary to deliver the service:

Stripe — to process payments securely. Formspree — to receive contact form submissions. Zoom — to conduct video interviews. A transcription service — to convert audio recordings into text. A print-on-demand partner — to print and ship physical books (we share only the memoir content and delivery address, not recordings or personal data).

We do not sell, rent, or share your personal data with anyone else. We do not use your data for advertising.

6. How We Store Data

Your personal data and audio recordings are stored securely using password-protected, encrypted services. We take reasonable precautions to protect your data from unauthorised access, loss, or misuse.

7. How Long We Keep Data

We keep your contact details and order information for up to 6 years after your purchase for accounting and legal purposes. Audio recordings are deleted within 12 months of delivering the completed memoir, unless you ask us to retain them. The written memoir is retained indefinitely as part of our service archive, but we will delete it on request.

8. Your Rights

Under UK GDPR, you have the right to access the personal data we hold about you, request correction of any inaccurate data, request deletion of your data (subject to legal obligations), withdraw consent for marketing use at any time, and lodge a complaint with the Information Commissioner's Office (ico.org.uk) if you believe your data has been mishandled.

9. Children's Data

Our service is not directed at children under 18. We do not knowingly collect personal data from children. If a narrator mentions children or grandchildren during an interview, those references are included in the memoir only with the narrator's and buyer's awareness and consent.
